QR Code Asset Tags

Give every laptop, tool and machine a QR code that opens its record. Anyone with a phone can scan it, with no scanner or app. Make one below, or tag a whole asset list from a spreadsheet.

A static code downloads as a PNG with no account. A dynamic code, which you can re-point later, needs a free account.

How it works

What a QR Asset Tag Does

A traditional asset tag carries a barcode with an ID. To use it you need a scanner and software that looks the ID up. A QR asset tag carries a link instead, so any phone camera opens the asset's record directly: who has it, when it was serviced, how to report a fault.

Scan

Point a phone camera at the tag. No app, no handheld scanner, no login to a special tool.

Open the record

The tag opens whatever you linked: a spreadsheet row, a page in your asset or helpdesk system, or a form.

Act on it

Check the owner, log a repair, or report a problem on the spot instead of writing the asset number down.

QRKit makes the tags, not the records. It is not asset management software: there is no check-out tracking, depreciation or maintenance scheduling. Point the tags at the spreadsheet or system you already keep.

Choosing

Which Kind of Code to Put on a Tag

Tags stay on equipment for years, and records move more often than that. Pick the code for where your records will be in five years, not just today.

CodeHoldsBest forThe catch
Static textThe asset number itself, for example IT-0042Teams whose asset software already has a scanner. Free and unlimited.Scanning shows the number, nothing more.
Static linkA fixed link to the asset's recordRecords that will never move. Free and unlimited. If the record moves, every tag points to the old address.
Dynamic linkA short link you can re-point at any timeMost asset tags. Move records or change systems without re-tagging, and see scan counts.Counts toward your plan: 1 free, 200 on Plus, up to 3,000 on Agency.

Need a barcode instead, for an asset system that only reads linear codes? The free Code 39 and Code 128 generators make those, in bulk too.

At scale

Tag a Whole Asset List From a Spreadsheet

  1. 1

    Export your asset list

One row per asset. Put the asset number or name in the title column and the record's link in the url column.

  2. 2

Upload it to the bulk generator

Upload the CSV or Excel file, or paste the rows. Every row becomes its own dynamic code.

  3. 3

    Print or download

Get a print-ready PDF on Letter, A4 or another paper size, 1 to 16 codes per page, with each asset's name printed under its code. For a label printer, download the codes as PNG, SVG, PDF or EPS files instead.

  4. 4

    Re-point when things change

If records move to a new system, change each code's link in your dashboard. The tags already on the equipment keep working.

The bulk QR code generator starts on Plus, which includes 200 dynamic codes. One print PDF holds up to 300 codes; larger lists download as a ZIP.

Durability

Making Asset Tags That Last

Pick a tough material

Paper wears through in months on tools and carts. Polyester labels, laminated labels or metal-look tags survive handling and cleaning.

Size it for the distance

At least 2 by 2 cm for a laptop scanned at arm's length. Bigger for machines scanned from a step away.

Keep a white margin

Scanners need a clear border around the code. Do not trim the label to the edge of the squares.

Place it where it is seen and flat

Avoid curves, hinges, vents and hot surfaces. On a laptop, the underside or inside the lid works well.

Who uses them

Where Teams Put QR Asset Tags

IT equipment

Laptops, monitors and phones. The tag opens the device's record, so a support request starts with the right machine.

School devices

Chromebooks and tablets handed out to students, with the tag linked to the device's row in a shared sheet.

Tools and equipment

Power tools, ladders and test gear that move between sites, linked to their owner and last inspection.

Facilities

Machines, extinguishers and HVAC units, with the tag linked to a form for reporting a fault or logging a check.
