Easy to use

Create an Event QR Code in 3 Steps

1

Enter Your Event Details

Type the event title, location, start time, and end time. This is the information that will be added to the scanner's calendar when they scan the QR code.

2

Customize Your QR Code Design

Choose colors, add your event logo, and pick a frame style. Add call-to-action text like “Scan to Add to Calendar” so people know what to expect when they scan.

3

Download & Share

Download as PNG or SVG. Print on invitations, posters, badges, banners, table cards, or share digitally in emails and social media.

How it works

What Is an Event QR Code?

An event QR code is a scannable code that adds an event directly to the scanner's phone calendar. When someone scans it with their smartphone camera, their calendar app — Google Calendar, Apple Calendar, Outlook — opens automatically with the event title, location, start time, and end time already filled in. They simply tap “Add” or “Save.”

Encoded format (vCalendar)

BEGIN:VCALENDAR VERSION:2.0 BEGIN:VEVENT SUMMARY:Annual Conference 2026 LOCATION:Convention Center, SF DTSTART:20260315T090000Z DTEND:20260315T170000Z END:VEVENT END:VCALENDAR

This uses the standard vCalendar format, supported by every smartphone calendar app. No special app needed. You can create one with any QR code generator that supports events.

Why instant calendar adds matter: If you share event details on a poster, flyer, or invitation, most people won't manually type the date, time, and location into their calendar. But if they can scan a QR code and have it added automatically, they're far more likely to save the event — and actually show up.

Use cases

8 Ways to Use Event QR Codes

Conferences & Summits

Print event QR codes on badges, lanyards, and signage. Attendees scan to add keynotes, workshops, and sessions to their calendar with the exact room, time, and title. No more missed sessions or double-bookings. Pair with a WiFi QR code for instant venue network access.

Weddings & Celebrations

Include on save-the-dates and invitations. Guests scan to add the ceremony date, time, and venue to their phone calendar. Pair with a vCard QR code for the couple's contact info.

Corporate Events

Add to meeting invites, office signage, or internal newsletters. Colleagues scan to save team events, all-hands meetings, or company retreats to their calendar without manual entry.

Trade Shows & Exhibitions

Print on booth materials and flyers. Visitors scan to save your product demo or presentation time to their calendar. Follow up with attendees who saved your session.

Workshops & Training

Include on registration confirmations and classroom doors. Participants scan to add training sessions with room number, time, and instructor to their calendar.

Concerts & Festivals

Print on posters, tickets, and wristbands. Fans scan to save show dates, venue details, and gate times to their calendar.

Fundraisers & Galas

Print on invitations and promotional materials. Donors scan to save the event date and venue. Pair with a Google Form QR code for RSVP collection.

Community & Sports Events

Print on flyers, bulletin boards, and social posts. Attendees scan to add game times, meetup locations, and event details to their calendar.

QR Codes for Event Registration, Check-In & Photo Sharing

While calendar event QR codes add events to attendees' calendars, QR codes serve many other purposes throughout the event lifecycle. Use URL QR codes to link attendees to registration pages, check-in forms, photo galleries, and more.

Event Registration & RSVP

Link a URL QR code to your registration page (Eventbrite, Google Forms, custom form). Print on invitations, flyers, or email signatures. Attendees scan to RSVP or purchase tickets instantly.

Event Photo Sharing

Create a shared album or landing page and point a URL QR code to it. Print on table cards, lanyards, or signage with “Scan to Upload Your Photos.” Perfect for weddings, corporate parties, and conferences.

Attendee Check-In

Link a QR code to a Google Form or check-in tool. Attendees scan on arrival to mark themselves present. Speeds up entry, reduces paper, and creates a digital attendance record.

Event Feedback & Surveys

Place QR codes on exit signs, programs, or thank-you cards linking to a feedback form. Attendees submit feedback before the event ends, while their experience is fresh.

Best practices

Best Practices for Event QR Codes

01

Size for Scan Distance

Badges and tickets: 3–5 cm. Table cards and programs: 5–10 cm. Posters and banners: 10–15 cm. Outdoor signage and entry gates: 30+ cm. Rule of thumb: QR code width should be 1/10th of the expected scan distance.

02

Add a Clear Call-to-Action

Print “Scan to Add to Calendar” or “Scan for Event Details” next to the QR code. Event QR codes look like any other QR code — the label tells attendees what will happen when they scan.

03

Test Before Printing

Scan with both iPhone and Android from the expected distance. Verify the calendar app opens with the correct event title, location, and times. Test at the actual print size — not just on screen.

04

Use High-Contrast Colors

Dark QR code on a light background scans best. If using event brand colors, maintain strong contrast. Never print a light QR code on a light background or dark on dark.

05

Add Your Event Logo

QR codes have built-in error correction and remain scannable with a small logo covering up to 30% of the pattern. Keep the logo centered and high-contrast. Test scanning after adding it.

06

Place Where Attendees Expect

On invitations, near the RSVP date. On badges, visible but not covering names. On posters, at eye level and prominent. On table cards, facing outward. Match placement to context.

Compare

Static vs Dynamic Event QR Codes

Which should you choose? It depends on whether your event details might change after printing.

Static Event QR Code

Free

The event details (title, location, dates) are encoded directly in the QR code using the vCalendar format. It works forever and doesn't need an internet connection. When scanned, it instantly adds the event to the phone's calendar. Downside: if the venue changes or the time shifts, you need to generate and print a new QR code.

Best for

Events with finalized details, save-the-dates, recurring events.

Dynamic Event QR Code

Popular

The QR code points to a redirect you control from your QRKit dashboard. Change the event page, update details, or swap the destination anytime — the printed QR code stays the same. You also get scan analytics (total scans, devices, dates). Learn more about dynamic QR codes.

Best for

Conferences with evolving schedules, multi-day events, promotional campaigns where you want to track engagement.
